What to have to hand
None of it is essential — you can turn up with nothing and we'll still have a useful conversation. It just makes the call sharper.
- Roughly what you turned over last year, and what you expect this year
- Your business structure — sole trader, partnership, limited company, or undecided
- Whether you're VAT registered, and on which scheme
- How many people you pay, and whether they're employees or subcontractors
- What software you're using now, if any
- The thing that's actually bothering you — a deadline, a tax bill, cashflow, or an accountant who has gone quiet
If you're switching accountants
You can move at any point in the year — you don't have to wait for a year end, though just after one is tidiest. You don't need to tell your current accountant first; we write to them for professional clearance and the handover records. Check your existing engagement letter for notice terms, and make sure any work already paid for has been completed or refunded.
If you're just starting out
Talk to us before you register anything. The sole-trader-or-limited-company decision, the VAT registration date and the payroll setup are all much cheaper to get right at the start than to unpick later.

How quickly will I hear back?
Usually within one working day for the form or an email. If it is urgent — a deadline this week, an HMRC letter with a date on it, a payroll problem before a pay run — say so in the message or send a WhatsApp to +44 7457 428643 and it moves up the queue. What you will not get is an instant answer to a question that deserves a considered one. If something needs figures checked or a rule read properly, you will be told when you will have it rather than given a guess that has to be corrected later.
Is the discovery call really free, and is it a sales pitch?
It is free, takes around 30 minutes and there is no obligation. It is a conversation about your situation rather than a presentation — what you do, how you are set up, what is working and what is not. If we are not the right fit, you will be told on the call rather than sent a proposal anyway. Being straight about the commercial reality: we run these because a proportion of people who take one become clients. That is the model, and it is why the call is worth your time even if you decide against us.
What should I have ready before the call?
None of it is essential, but it makes the half hour sharper: roughly what you turned over last year and expect this year; your structure — sole trader, partnership, limited company or undecided; whether you are VAT registered and on which scheme; how many people you pay and whether they are employees or subcontractors; what software you use now; and the thing that is actually bothering you, whether that is a deadline, a tax bill, cashflow or an accountant who has gone quiet. Turn up with none of it and we will still have a useful conversation.
What happens after the call if I want to go ahead?
Six steps, in this order. A fixed-fee proposal in writing showing what is included, what is not and the monthly figure — take as long as you like over it. An engagement letter to sign. The identity checks every UK accountant must carry out under anti-money-laundering rules, which means photo ID and proof of address. HMRC agent authorisation so we can act for you. A professional clearance letter to your existing accountant for the handover records. Then setup: software, bank feeds, opening balances, a calendar of what is due when, and a named accountant.
What if I have not filed for a couple of years?
Say so at the start — it is common, it is fixable, and we would rather know now than find out in month two. The first job is establishing exactly what is outstanding: which years, which returns, what HMRC has already assessed or charged, and whether any penalties are appealable. Then we agree an order to deal with it in, usually oldest first so penalties and interest stop compounding. Where the amount owed is genuinely unaffordable, a Time to Pay arrangement is a real option and is far easier to agree before enforcement than after. Catch-up work is quoted separately.
Do I need to be near London, Manchester, Ballymena or Pretoria?
No. Everything runs digitally and most clients never visit an office. We have offices in all four if you would rather meet in person, and for a first planning session with two shareholders in the room that is often genuinely better. For routine work, a video call with the file open on screen beats a meeting room and can happen this week rather than when diaries align. Location has no effect on pricing — the same fixed fees apply wherever you are.
Can I ask one question without becoming a client?
Yes. Send it over. If it has a quick answer, you will get a quick answer at no cost. If it needs proper work — figures checked, a rule read carefully, a position researched — you will be told that rather than given a guess, and quoted if you want it done. The reason for drawing that line openly is that free advice given hurriedly is the kind that goes wrong, and an answer that is 80% right on a tax question is usually worse than no answer at all.
What happens to my data?
It is held in the accounting software and our own systems, used to do your work and meet our legal obligations, and not sold or shared for marketing. Under anti-money-laundering rules we are required to keep identity records, and under tax law certain records must be retained for defined periods, so "delete everything" is not always something we are permitted to do. Some processing is carried out by our Pretoria team, which we state openly rather than describe vaguely. The full position is in our privacy policy.
