Four things that make the promise easier to keep

    Tell us early

    A problem you mention in week one is a phone call. The same problem in month six is a project. Nothing you tell us early makes us think less of you.

    Be straight with us

    If the numbers are messier than you have let on, say so. We have seen it before and we would rather work on what is actually there.

    Say when something is not right

    If a report is confusing, a reply was slow or the fee does not feel fair, tell us while you are still annoyed about it rather than at renewal.

    Treat the team as people

    You get a named accountant rather than a queue, and the same courtesy back is all we ask.

Five things, and we can do the rest

None of this takes long once it is set up, and every one of them removes a chase. Do these five and your books stay current without you thinking about it.

    Use the software

    Whatever we have set you up on — FreeAgent, Xero or the Buzz app — is where the record lives. Running a second set of figures in a spreadsheet means two versions of the truth and we will end up reconciling them.

    Connect your bank

    A read-only feed pulls your transactions in every day. It cannot move money, and it is the single biggest thing that stops your year end turning into a fortnight of statement chasing.

    Photograph your bills and receipts

    Take the picture when the receipt is in your hand and it is done. HMRC expects you to keep the evidence, and a photo taken in the moment is worth more than a shoebox in January.

    Send invoices from the app

    If you invoice at all, raise them where the bookkeeping already is. Your sales, your VAT and who owes you what then stay right without anyone typing them in twice.

    Send us the information we ask for

    When we ask for something it is because a filing needs it. Come back to us the same week and the deadline stops being anybody's problem.

Where a client cannot do one of these, tell us and we will do it for them; it may change the fee, but it will never change the deadline. What we cannot do is guess.
