Common questions about Xero

What does Xero Gold Partner actually mean?

Xero awards partner tiers based on the number of clients a firm supports on the platform and the certifications its team holds. Gold is one of the higher tiers, so it means we work in Xero every day and the team is certified rather than merely familiar. Being honest about what it does not mean: it is not a quality accreditation from a regulator, and it does not make Xero the right software for you. It does mean we have partner pricing, direct support routes when something breaks, and enough volume to have seen most migration problems before.

Is the Xero subscription included in my fees?

We offer Xero on preferential partner pricing and bundle it into your Buzz fee, so you get the software and the support in one figure rather than paying Xero separately. FreeAgent is included outright in every package at no extra cost, which is the cheaper route if it fits the business. If you already pay Xero directly and would rather keep the billing relationship, that is fine — we can be added as your accountant on your existing subscription. Ask for the comparison at the discovery call and take whichever is cheaper for you.

Should I be on Xero or FreeAgent?

FreeAgent if you are a sole trader, freelancer, landlord or small limited company with straightforward transactions and no stock — it is simpler, and it is included in your package at no cost. Xero once there is stock, multi-currency, several users needing different permissions, higher transaction volumes, or a need for the wider app ecosystem such as inventory, advanced credit control or industry integrations. The marker is when the software starts forcing workarounds. We support both, so there is no commercial reason at our end to steer you — see the software comparison.

Can you migrate me from QuickBooks, Sage or a spreadsheet?

Yes, and we do it often enough to have a routine for it. Opening balances, outstanding sales invoices and unpaid supplier bills come across, bank feeds are reconnected, and the switch-over date is chosen to avoid falling inside a VAT period or across a pay run. Set expectations on history: importing several years of transactions is frequently unnecessary and occasionally counterproductive, because it carries the old coding errors with it. Prior years stay readable in the old system or as an export. Budget for the first post-migration reconciliation to surface something nobody expected.

Is Xero too much for a small business?

It can be, and being sold a platform you use 20% of is a real cost rather than a theoretical one. Xero scales down perfectly well — we set the right plan and turn on only the features you will use — but if you are a sole trader with forty transactions a month, FreeAgent will do the job with less to learn, and it comes free in your package. The question to ask is what you need the software to do that your current one cannot. If the answer is nothing, keep what you have.

Do I need to understand accounting to use it?

No, and you should not have to. We train you on the parts you will actually use — raising invoices, capturing receipts, reconciling the bank feed, checking who owes you money — and keep the technical work at our end. Two things worth knowing, though: the bank feed reconciling to zero does not mean the accounts are right, and the profit figure on the dashboard is only as good as the coding behind it. Those two misconceptions cause more bad decisions than any software limitation.

What add-ons are actually worth paying for?

Receipt capture is the one that pays back almost universally once you handle more than a handful of purchase invoices a month — Dext, AutoEntry or Apron all do the job, and they keep records in the digital form Making Tax Digital requires. Payment approval tools earn their keep once more than one person can spend money. Beyond that, be sceptical: most app stacks accumulate rather than get designed, and businesses routinely pay for three tools doing overlapping jobs.
